ESTIMATING ADMINISTRATOR
Position Overview
As an Estimating Administrator, you will play a key role in supporting the Estimating Team throughout the entire bid process—from initial receipt of Requests for Proposals (RFPs) to final bid submission. Your responsibilities will include coordinating estimate documentation, managing communications, and providing vital administrative support to streamline and enhance the efficiency of the estimating process.
Key Responsibilities (include but are not limited to)
Maintain daily communication with the Chief Estimator, Senior Estimators, Estimators, and Project Managers
Deliver clear and professional written and verbal communication
Utilize strong technical and software skills to support estimating functions
Organize and prioritize tasks effectively, ensuring accurate documentation and timely follow-up
Demonstrate a strong attention to detail and accuracy
Foster a collaborative, team-oriented work style
Meet tight deadlines and manage multiple tasks efficiently
Organize and maintain hard copy estimate files
Coordinate with vendors regarding requests, due dates, and inquiries
Manage and update the estimating bid calendar in Microsoft Outlook, including site visit scheduling
Take initiative, show willingness to learn, and quickly assume responsibility
Exhibit excellent interpersonal skills and a professional, approachable demeanor
Support a fast-paced environment with flexibility and a commitment to excellence
Experience & Qualifications
Minimum of 2 years of administrative experience
Experience in the construction industry preferred
Strong ability to build and maintain professional relationships
Proficient in written and verbal communication
Skilled in CRM platforms such as HubSpot or equivalent sales tracking systems
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with Procore is a plus
Education
High School Diploma or GED required
Bachelor’s degree preferred, but not required
Core Competencies
Proficiency with Microsoft Office applications
Familiarity with iSqFt or similar estimating software
Experience with phone systems and general office equipment
Additional Requirements
Valid driver’s license and reliable personal transportation
Authorization to work in the United States
